Privacy Policy

This Privacy Policy explains how GradTab (“we”) collects and uses your information. The short version: we collect what the product needs to work, we don't sell your data, and your essays are not stored unless you choose to save a draft.

What we collect

  • Your email address, to sign you in with an email link and, if you turn them on, to send deadline reminders.
  • What you track: the programs you add, their status, your tasks, notes, the labels you give recommenders (we don't ask for their contact details), and any program you add yourself.
  • Application outcomes, if you add them: after you submit, you can record the school's decision (admitted, waitlisted or rejected) and, if admitted, whether you enrolled or declined. This is optional, and you can change or clear it at any time.
  • Essays you check: used only to produce your review, then discarded. We don't store the text and never put it in logs, analytics or emails. We keep a record of each check without the essay: the issue categories and severities, which parts of the essay question were covered, the word count, and the check's cost.
  • Drafts you save: if you press “Save draft”, we store that essay, and the essay question it answers, in your account until you delete it. For an optional essay you add yourself, we also store the title, question and length you give it. While you edit a saved draft, your changes are saved to your account automatically. Free accounts can save a few drafts and Pro accounts more.
  • Tips you send: if you report a mistake, a fee waiver or an event on a program page, we store what you wrote, the link you gave and the program, linked to your account, so we can review it. We review every tip before anything on the site changes.
  • Your plan and usage: your plan, how many essay checks you've used, and whether you joined the Pro waitlist.
  • Early-access email: if you join the early-access list on our home page, we store only your email address, to send your invite.
  • Usage events: when you use a feature, we record what you did, for example that you added a program, checked off a task, changed an application's status, ran an essay check or saved an essay. These events are linked to your account by an internal ID (not your email), so we can see how the product is used over time. They never include your email or name, any essay text or essay check results, application outcomes, which schools you track, or anything else you write, and they don't use cookies. We also count anonymous page views (the page path, the website that sent you and campaign tags).
  • How you heard about us, if you tell us: the option you pick from a short list. It's optional and asked once.
  • Technical data: our hosting provider may record technical details such as your IP address in its logs to keep the service secure. Our own logs record error codes, never your email or essays.

Anonymous statistics from outcomes

We may use application outcomes in aggregate, anonymous statistics, for example how many applicants who tracked a program were admitted. These statistics never identify you, and we never show one for a group smaller than 10 people. Outcomes are never linked to essay text. We don't show any statistics yet.

Cookies and browser storage

We use cookies only to keep you signed in. No advertising or tracking cookies. We also keep two things in your browser's local storage, on your device only:

  • Essay text you haven't saved yet. While you write on the essay check page, your text (and the program you chose) is kept in this browser so it isn't lost if the page reloads. It is never sent to us. It's removed when you save it as a draft, empty the box, sign out or delete your account, and when another account uses the essay check in this browser. Your essay reaches us only when you check it (then discarded) or save it.
  • A small note so a welcome message isn't shown twice.

Who processes your data for us

We use these providers to run the service. They process data on our behalf, not for their own purposes:

  • Supabase: database and sign-in.
  • Vercel: hosting.
  • Resend: sending email (sign-in links and reminders).
  • PostHog: product analytics, as described above.
  • Anthropic: the AI model that reviews essays. Your essay is sent to it only to produce your review. Under Anthropic's commercial terms, it doesn't use this data to train its models.
  • Stripe: payments, once paid plans open.

We don't sell your personal information or share it for advertising. We may disclose information if the law requires it.

How long we keep it

We keep your account data until you delete your account. Deleting it (Settings → Delete account) removes your account and everything in it right away, including saved drafts and your early-access email. Our database provider keeps backups for a limited period, after which deleted data is gone from them too. Early-access emails are kept until we send your invite or you ask us to remove them.

Your choices

  • See and change what you track at any time in the app.
  • Turn reminder emails off in Settings, or with the link in any reminder.
  • Delete saved drafts on the essay check page, and your whole account in Settings.
  • For a copy of your data or any other request, email hello@gradtab.app.

Where your data is processed

Our providers process data in the United States. By using the service from elsewhere, you understand your data will be processed there.

Children

The service is for graduate-school applicants and isn't intended for anyone under 16.

Changes

We'll update this page when our practices change, and email you about significant changes.
